What personal data we collect and why we collect it

This website has no evil agenda. We have no intention of collecting unnecessary details about you or of selling your information. We are doing everything we can to protect you from those people. Below are the necessary details about what goes on with this website, in relation to your data.

On registering for the website you voluntarily provide to us a username, email address, and password. Your username will be publicly visible if you leave a comment on the website or forum. Your email address is not publicly viewable, and along with your password is stored in a secure, encrypted database, accessible only by CCB employees and employees of GoStudio, our web developer.

When you log in we may also collect information such as your IP address, your browser type and version, your operating system, your referral source, the length of visit, page views, website navigation, and any other related browsing activity. We use this information to analyse the distribution and use patterns of our users. We may publish anonymised analyses of our users’ activity, but we will not publish, share, or sell your information to any other company or individual.

We use your contact information, such as your email address, to authenticate your account and keep it – and our services – secure, and to help prevent spam, fraud, and abuse. We also use contact information to personalize our services, enable certain account features, for login verification, reset password, to send you information about our community and notify on new replies to your subscribed forums and topics. You can unsubscribe from any email notifications.

If you email us, we will keep the content of your message, your email address, and your contact information to respond to your request.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

About cookies

Our cookies

We use both session and persistent cookies on this website: a persistent cookie will be stored by a web browser and will remain valid until its set expiry date, unless deleted by the user before the expiry date; a session cookie, on the other hand, will expire at the end of the user session, when the web browser is closed. These include cookies set by the HEROS software used to run the Citizen Portal and Review Portal; cookies set by the WordPress software used to create the website; cookies set by the Learnpress software used to construct the tutorials; cookies set by the WPForo software used to construct the discussion forum.

The names of the cookies that we use on the website, and the purposes for which they are used, are set out below.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies, called “WordPress_test_cookie”. This cookie contains no personal data and is discarded at the end of the session when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. These are called ” PHPSESSID,” “WordPress_logged_in_[key],” “Wp_learnpress_session_[key],”  “Wp-settings-8” and “Wp-settings-time-8”. The former three login cookies last for two days, and the latter two screen settings cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Social Media Widgets

The website may include links that direct you to other websites or services whose privacy practices may differ from ours. Your use of and any information you submit to any of those third-party sites is governed by their privacy policies, not this one.

Some of our Services contain widgets and social media features, such as the Facebook “share” or Twitter “tweet” buttons. These widgets and features collect your IP address, which page you are visiting on the Services, and may set a cookie to enable the feature to function properly. Widgets and social media features are either hosted by a third party or hosted directly on our Services. Your interactions with these features are governed by the privacy policy of the company providing it.

Analytics

Data you enter into the Citizen Science Portal will be kept and analysed for the purposes of archaeological site recording. The username you created when you registered with this website will be recorded along with your data entries. Your username will also be associated with the final database entries. These data will be retained by the Chilterns Conservation Board, and may be analysed, following a process for anonymisation, to seek patterns in recording practice. These data will not be shared with any third parties.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data
